How Many Mattresses Should a 100-Room Hotel Keep in Stock?

A new procurement manager almost always starts with the same assumption: one mattress per bed, done. In practice, a well-run hotel carries spare stock — and getting that number wrong in either direction costs money, either in idle inventory or in emergency same-week orders at a worse price.
Start with your replacement cycle, not your room count
A hotel-grade spring mattress under normal commercial use lasts roughly 7 to 10 years before support noticeably degrades, assuming daily turnover and standard housekeeping. Why "order when it wears out" is the expensive way
Reactive ordering — waiting until housekeeping flags a specific mattress — means small, frequent purchase orders. Bulk manufacturers price per unit lower as order size increases, and GST-compliant B2B billing is simpler to reconcile as fewer, larger invoices rather than a dozen small ones through the year. Most properties that switch to a planned annual batch order see a meaningful per-unit cost drop purely from volume, separate from any negotiation.

- Delivery scheduling — a manufacturer that can stagger delivery across a renovation timeline avoids you having to warehouse 40 mattresses on-site for weeks
